Corporate Diwali gifting goes wrong in predictable ways, and almost always for the same reason: the order is placed on time but everything around it is left late. Addresses, artwork, approvals and spares are what cause the last week panic, not the hampers themselves.
This is the checklist we run with corporate clients. Work through it in order and the whole thing becomes routine.

Four weeks out: decide
Lock the headcount. Employees, plus clients, plus vendors and partners if you gift them. Get this from HR rather than estimating, and ask who is joining before Diwali.
Set the budget per head. One number for the company, and if needed a second for leadership. Most Indian companies land between Rs 500 and Rs 1,200 per employee.
Decide office or home delivery for each group. Office for people who come in, home for remote staff.
Request samples if the order is large. Seeing and tasting the hamper before committing to four hundred of them is worth the few days it takes.
Check your internal approval route. Find out now whether this needs one signature or three, because that is often the longest step.
Three weeks out: confirm
Place the order with final quantities. Add two to five percent spares for new joiners and lost parcels.
Send your logo artwork. Vector if possible, as AI, EPS, SVG or PDF. If you only have a raster file, send the largest PNG you have with a transparent background. Include Pantone or CMYK codes if you know them.
Write the note card. Three lines, signed by a named person rather than by a department. If you can print the recipient name on each card, do it.
Share your GST details. Company GSTIN, registered name and billing address, at confirmation rather than after dispatch.
Start collecting home addresses. This takes longer than production. Begin the day you confirm.
Two weeks out: approve and finalise
Approve the branding proof. Check the logo size, the colour and the spelling of your company name. Once it is printed it cannot be changed.
Close the address list. Expect around one in ten to be incomplete. Chase those specifically rather than sending a general reminder.
Confirm the city wise split so each location gets its own consignment and tracking.
Name a contact per location who will receive and distribute. Consignments addressed to a company sit at reception. Consignments addressed to a person get signed for.
One week out: dispatch
Get tracking numbers per consignment and keep them in one sheet.
Tell each location when to expect delivery so somebody is there to receive it.
Plan the handover. A gift handed over in person on the last working day lands better than one left on a desk a week early.
Diwali week: close the loop
Check for failed deliveries and resend from your spares.
Follow up with clients a day or two after delivery with a short message and no ask attached.
Note what to change next year while it is fresh, particularly anything about addresses or timing.
The Diwali 2026 dates to work backwards from
Diwali 2026 falls on Sunday, 8 November. That Sunday matters: the last office working day is Friday 6 November, so gifts need to reach offices by Thursday 5 November.
| Date | Milestone |
|---|---|
| By 10 October | Headcount and budget decided, samples requested |
| By 17 October | Order confirmed, artwork sent, advance cleared |
| By 24 October | Branding proof approved, address list closed |
| 27 Oct to 1 Nov | Production, packing and dispatch |
| 3 to 5 November | Delivery at offices and homes |
| 6 November | Handover on the last working day |
The five mistakes that cost companies every year
Collecting addresses last. It is the slowest step, not the fastest. Start it first.
Not asking about the packing date. Many vendors pack from stock bought months earlier. Ask when your boxes will be filled.
Approving artwork late. The proof loop takes a day or two on its own, before printing even starts.
Forgetting spares. Somebody always joins in the last week and a courier occasionally loses a box.
Gifting something that excludes people. Alcohol, heavy sweets and anything religion specific create awkwardness in a mixed team. Dry fruits avoid all of it.

FAQs
When should we start planning corporate Diwali gifts?
Four weeks before Diwali for a branded order. For Diwali 2026 on 8 November, that means deciding headcount and budget by around 10 October and confirming the order by 17 October.
What is the most common mistake in corporate Diwali gifting?
Collecting employee addresses too late. Address collection takes longer than production, because a share always comes back incomplete and has to be chased individually. Start it the day you confirm the order.
How many spare hampers should we order?
Two to five percent above headcount. New joiners appear in the final week and couriers occasionally lose a box, and spares cost far less than the awkwardness of one person being missed.
What artwork do you need for logo branding?
A vector file is best: AI, EPS, SVG or PDF. Otherwise send the largest PNG you have with a transparent background, ideally 2000 pixels wide. Pantone or CMYK codes help match your brand colours.
When is the last date to order Diwali gifts for 2026?
Confirm branded orders by around 17 October. Ready hampers without branding can be arranged into late October, though courier networks are congested in the final fortnight.
Should Diwali gifts go to the office or to homes?
Office for staff who come in, since one consignment is cheaper and easier to track. Home delivery for remote employees, with a name, full address with pincode and phone number for each person.
Do corporate orders include a GST invoice?
Yes. Share your company GSTIN, registered name and billing address at confirmation, and the invoice is issued accordingly so finance can book it as a business expense.
